Step 5 does not create learners. It reads the learners prepared in Step 4 and then saves score rows by assessment, subject, test stage, learner, and tutor.

What you may see

The school does not appear after choosing a district.

Why it happens

Schools are filtered by district and the ARAL portal only accepts active public schools.

Quick fix

Check that the district is correct.
Search the school name spelling.
Use Report Problem with school name and district if still missing.

Confirm: Do not encode under a nearby school while waiting for support.

03. Cannot Proceed After Principal

What you may see

Step 2 will not continue to Step 3.

Why it happens

The portal requires the school head name and official position before moving forward.

Quick fix

Click Complete Now or Edit and Confirm.
Enter at least school head name and position.
Click Save Principal, then proceed.

Confirm: Email and contact are recommended, but name and position are the key required fields.

04. No Assigned Tutor

What you may see

The score row says No assigned tutor, or saving refuses the score.

Why it happens

Step 5 uses the tutor stored per learner subject from Step 4.

Quick fix

Go back to Step 4.
Edit the learner.
Pick a tutor for the exact subject or program, then save.

Confirm: A learner can use the same tutor for multiple subjects, but each subject still needs a tutor selection.

05. Wrong Incoming Grade

What you may see

The assessment is missing, not applicable, or routes to the wrong program.

Why it happens

The algorithm uses incoming grade for SY 2026-2027, not last completed grade.

Quick fix

Open Step 4.
Edit the learner.
Correct the incoming grade and update program selections if the grade band changed.

Confirm: Grade 4 routes ARAL reading to CRLA; Grade 5 routes it to Phil-IRI.

06. Learner Missing From Score Table

What you may see

A learner exists in Step 4 but is not visible during encoding.

Why it happens

The table is filtered by assessment, grade, tutor, and sometimes subject.

Quick fix

Clear the grade and tutor filters.
For CRLA or Phil-IRI, switch Filipino or English tabs.
If still missing, edit Step 4 and tick the correct program.

Confirm: Only learners enrolled in that assessment type can appear in Step 5.

07. Grade Not Applicable

Step 5 says the selected grade does not apply to the assessment.

Why it happens

Each assessment page has an official grade band enforced by the server.

Quick fix

Check the learner incoming grade.
Check the selected program in Step 4.
Use the assessment that matches the routing rule.

Confirm: CRLA G2-G4, Phil-IRI G5-G11, RMA G2-G11, SARP G4-G12, SHS only G12.

08. Wrong Subject Tab

What you may see

Scores were entered in Filipino but should be English, or the reverse.

Why it happens

CRLA and Phil-IRI store Filipino and English as separate subject rows.

Quick fix

Switch to the correct subject tab.
Re-encode the score there.
Clear the incorrect saved score from the wrong tab.

Confirm: The current subject banner should match the subject on the paper assessment.

09. RMA Or SARP Has Many Rows

What you may see

The same learner appears more than once under RMA or SARP.

Why it happens

RMA and SARP can store separate subject rows for the same learner.

Quick fix

Read the Subject column first.
Encode only the matching paper test.
If the subject is wrong, fix the learner program in Step 4.

Confirm: Each subject row has its own Pre, F1, F2, F3, and Post cells.

10. Max Is 20 Or Max Is 10

What you may see

The score turns red or says Max is 20, Max is 10, or Invalid.

Why it happens

The score must be from zero up to the max shown in that column header.

Quick fix

Check the paper score.
Use numbers only.
Lower the value to the allowed max, then click outside the cell.

Confirm: Standard max: Pre 20, F1 10, F2 10, F3 10, Post 20. Admin overrides may show max varies.

11. Blank Is Not Zero

What you may see

A learner did not take the test and someone typed 0.

Why it happens

Zero means the learner got zero correct. Blank means no test was taken and should not count.

Quick fix

If no score is saved, leave it empty.
If 0 or another score was saved, click Clear.
Confirm the clear action.

Confirm: Cleared scores are excluded from progress, averages, and percentages.

12. Did My Score Save?

What you may see

The browser refreshed, internet dropped, or the encoder is unsure what was saved.

Why it happens

Each score cell auto-saves after you press Tab or click outside the cell.

Quick fix

Wait for the saved indicator before moving on.
If network error appears, retype and leave the cell again.
Refresh after saving to confirm data reloads from the server.

Confirm: Typed text that never left the cell may be unsaved. Saved cells reload after refresh.

13. Stage Is Closed Or Locked

What you may see

Formative Test or Post-Test is visible but cannot be edited.

Why it happens

Authorized administrators can open or close each quiz stage.

Quick fix

Do not keep retrying the same cell.
Confirm the stage name: Pre, F1, F2, F3, or Post.
Use Report Problem or contact the administrator to reopen it.

Confirm: Existing saved scores remain visible even when a stage is closed.

14. Duplicate LRN

What you may see

Saving a learner reports Duplicate LRN.

Why it happens

Two learners in the same school cannot share the same 12-digit LRN.

Quick fix

Search the Step 4 learner list.
Edit the existing learner if it is the same child.
Correct the digits if the LRN belongs to someone else.

Confirm: If the duplicate came from another school transfer, use Report Problem so support can review it.

15. 403, Session, Or Save Failed

What you may see

A save returns 403 Forbidden, Save failed, or the page feels out of sync.

Why it happens

The selected school/session may no longer match the server, or the network dropped.

Quick fix

Refresh once.
Re-pick your school in Step 1 if needed.
Try the save again, then use Report Problem if it continues.

Confirm: Include school, step, assessment, subject, learner name or LRN, and the exact error message.
